Putting an event up, managing the list, and handling a waitlist.

Creating an event

  1. 1Open Events and create it — name, date, time and a description members will actually read.
  2. 2Set a capacity if there is one. Sign-ups past capacity go on a waitlist rather than being refused.
  3. 3Publish it. It appears in members' portals under What's on.

Managing the list

  • See who's signed up, in the order they signed up.
  • Add somebody manually — for the member who phoned the shop.
  • Drop somebody who can't make it, which promotes the next person off the waitlist.
  • Promote from the waitlist by hand when you decide to open more places.
Nobody is contacted automatically

Promoting somebody off the waitlist doesn't email them out of the blue. It changes their status, and it's up to the shop to tell them — which is usually a phone call anyway.

Closing it off

Close an event when the field is set. Members can still see it and see that they're in it; they just can't add or withdraw themselves.

Questions

Can I charge for an event?

Raise an invoice against the members who signed up. There's no separate event checkout.

Can I put an event on the club's Google Calendar?

Yes — see Connecting QuickBooks, Google and payroll.

Do guests count?

Record the guest count as part of the sign-up. Guests don't need portal logins.
