What we collect, and why.

The short version

• We collect what the product needs to work, and nothing for resale.
• We do not sell your data, share it with advertisers, or build benchmark products out of it.
• You can export everything, at any time, in one click.
• You can ask us to delete it and we will, promptly, without an exit interview.

What we collect

Account and course information: your name and email, your course's name, type, location and timezone. This is what makes an account an account.

Operational data you enter: crew members, shifts, jobs, time entries, equipment, certifications, spray applications, contacts and anything you import. This is your course's data. We process it to run the product for you and for no other purpose.

A single location point per clock event: if location is available, the time clock records the coordinate at the moment somebody clocks in or out, so a distance from the maintenance shop can be calculated. We do not track anybody's location at any other time, and the clock still works with location switched off.

Technical data: IP address and user agent for security and rate limiting, and server logs for diagnosing faults.

What we don't collect

• Card or bank details — payments run through Stripe and card data never reaches us.
• Third-party advertising or tracking cookies. There are none on this site.
• Continuous or background location.
• Anything about golfers who aren't members of a course using the member tier.

Who else sees it

Cloudflare hosts the application, stores the data, delivers the email and runs the AI. The AI helper is Llama on Cloudflare's own Workers AI, which means the text you send it — for an import, the column headers and a sample of rows, not your whole database — doesn't leave Cloudflare and isn't handed to a separate model vendor. Stripe processes payments if a course connects an account. NOAA provides weather and receives only a rounded coordinate.

That's the complete list. No analytics vendors, no advertising networks, no data brokers.

How long we keep it

Your course's data stays until you delete it or close the account. Expired sessions and used reset tokens are pruned nightly. The demo course resets every night, which is why it says so in a large orange banner.

Your rights

Export everything as JSON from the settings page whenever you like. To correct or delete data, either do it in the app or ask us — including on behalf of a crew member who asks you to. If you're in a jurisdiction with specific data rights, exercise them by emailing us; we'll honour them without requiring you to cite the statute.

Children

Fairway is a workplace tool for adults. Where a course employs seasonal staff under 18, the course is the employer and the data controller for that employment record; we process it on their instruction.

Changes

If this policy changes materially, we'll email account owners before it takes effect rather than quietly updating a date at the top.
