The equipment log that pays for itself
Mower hours, service intervals and repair history — the least glamorous record on a golf course, and the one that most reliably turns into money at capital budget time.
A greens mower costs somewhere north of $35,000. A fairway unit costs more. On a course where the whole maintenance budget is $600,000, the fleet is the largest asset you touch daily and the one most sensitive to whether anybody wrote anything down.
Three things a log has to do
- 1Tell you when service is due, without anyone remembering. Hours since last service against the interval, flagged automatically, is the whole mechanism.
- 2Tell you what a machine has cost. Every repair, every part, every hour of shop time — accumulated per machine, not per month.
- 3Tell you what's down right now, to everyone who schedules work. A machine that's out of service and still on tomorrow's job list is a wasted morning.
Why paper logs fail predictably
They don't fail because people are careless. They fail because the log lives in the shop and the hour meter reading happens at the machine, forty yards away, at the end of a shift, in the rain. Any record system that requires a second trip loses to the record system that doesn't exist.
Every maintenance record that survives is one that got made in the same place and the same minute as the work.
The capital request that gets approved
Boards, owners and city councils approve equipment replacements when the numbers are in front of them. What that looks like in practice:

None of this requires new work. It's the by-product of logging repairs against a machine rather than against a month.
What to log, and what to skip
The temptation with a new system is to log everything, which produces two weeks of enthusiasm followed by nothing. Keep it to four things and they'll actually get recorded: the hour reading whenever somebody notices it, every service with the hours it happened at, every repair with what it cost, and the day a machine goes down or comes back.
Everything useful falls out of those four. Service intervals need hours and services. Cost history needs repairs. Downtime — the number that actually persuades a board — needs nothing more than the day it went down and the day it returned. Torque specs, part numbers and fluid capacities belong in the manual, not in your log; nobody has ever made a better decision because that data was in a database.
Getting started when you have no history
Start today. Record every machine's current hours, its service interval from the manual, and a rough purchase year. That's enough to make the service flags work immediately, and the cost history starts accumulating from your next repair. You do not need to reconstruct the past to benefit from the present.
The one exception worth the effort is anything already limping. If a machine has been in and out of the shop all season, spend twenty minutes reconstructing that from invoices before you file them — because that's the machine you'll be arguing about at budget time, and the argument goes much better with numbers than with adjectives.

Questions
What service interval should I use?
The manufacturer's, from the manual, until you have reason to differ. Reel mowers commonly land around 200–250 hours for a full service; utility vehicles and tractors run longer. If your conditions are unusually dusty or wet, shortening the interval is nearly always cheaper than the alternative.
Should I track fuel too?
If you have a shop tank, yes — a machine whose fuel consumption climbs is usually telling you something before its repair costs do. If you fuel off-site it's usually more effort than it returns.
Can crew log hours from their phone?
In Fairway, yes — logging hours or a repair takes a few seconds at the machine. That's the entire design goal: the log has to be faster than not doing it.
